As the design progresses, we start to prepare detailed tender documentation, so that all parties understand their obligations. This is the basis of future contract documentation and generally includes the contract, specification and drawings together with a pricing document.
The design consultants provide the drawings and specification. these provide the technical information required to undertake the project. We provide the information which ensures that the contract will be based on a sound commercial basis and will safeguard our client's financial interests.
If we are using a standard form of contract, we complete the contract particulars, which set out how matters such as payment, delays and unforeseen events are to be dealt with. Sometimes, our clients or their funders require standard contracts to be amended to provide additional security. If this is the case, we will ensure that the amended terms are reflected in the contract particulars.
In addition to this, we usually prepare the Employers Requirements document, which sets out the form of contract and the preliminaries items. Within this document, a schedule will be provided for the contractor to provide a detailed analysis of the cost, which is used for valuing the work, usually on a monthly basis. This is often in the form of a contract sum analysis.
